Orders and fulfilment

Every new store order lands in the “New orders” inbox with a live badge. This guide covers managing an order from arrival to delivery, assigning the driver, and handling cancellations.

1.The new-orders inbox and archive

New orders arrive in the “New orders” inbox wearing a live count badge that tells you to get moving; orders in progress are followed on the “Order status” board.

  • The “All orders” archive keeps the complete history: filter by source (store or POS), by status and by date range.
  • Search reaches any order by receipt number, customer name or phone.
  • Receipts are numbered automatically, so referring a customer to their order by number is easy.

2.The order status journey

An order moves forward along a clear path, with every transition validated server-side so no state is skipped. The path branches by order kind — delivery orders pass through shipping, counter orders finish right after preparation.

StatusMeaning
New (PENDING)The order just arrived and needs confirmation.
ConfirmedYou accepted it and started acting on it.
Preparing (PROCESSING)The kitchen or stockroom is putting it together.
ReadyReady for collection or handover to the driver.
ShippedThe driver left with the order.
DeliveredThe order reached the customer.
CompletedClosed for good after delivery.
CancelledCancelled — a final state with no way back.

3.Handing orders to a driver

When a delivery order is ready, assign the driver before it moves to “Shipped”: enter the driver name and phone — both required, because they record on the order and appear in the shipping details and on the customer receipt.

  • Driver details stay on the order, so any staff member can see who is carrying it right now.
  • When the driver arrives, update the status to “Delivered” and then “Completed”.
  • Delivery management is available from the Starter plan upward.

4.Cancellation and its automatic effects

When an order is cancelled, YallaBuy puts things back on its own: the reserved quantities return to stock automatically, and any coupon the customer used is released and works again — no manual fixing by you or your bookkeeper.

There is also a cancellation queue: an order asking to be cancelled appears in a review list above the orders archive, so you can see exactly what you are deciding on before you approve or reject it.

5.Guests and order tracking

Customers can order from your store without creating an account — the order records normally, and after confirmation it gets a private tracking code. With that code the customer opens the “My orders” page of your store and follows the status without calling you.
